Contact form submissions are retained for a maximum of 24 months. Contract-related data is retained for the duration of the contract plus 5 years, in accordance with Danish accounting legislation.

Refund Policy
1. General Principles
At PixelHarborStudio, we are committed to delivering high-quality design services that meet your expectations. This Refund Policy outlines the conditions under which refunds may be issued for services rendered from our office at Skt. Knuds Kirkestræde 5, 5000 Odense C, Denmark.
2. Project Milestone Refunds
Our design services are structured around project milestones. Refunds are evaluated on a case-by-case basis according to the following framework:
- Pre-commencement: If you cancel a project before any work has commenced, you are entitled to a full refund of any advance payment within 14 business days.
- Early phase (Discovery & Research): If cancellation occurs after the discovery phase has begun but before design deliverables are produced, a partial refund of 75% of the remaining project value will be issued.
- Active production: Refunds for work in active production are assessed based on the percentage of deliverables completed and accepted. Payment for completed milestones that have been approved is non-refundable.
- Delivered work: Once final deliverables have been handed over and accepted, no refund will be issued for that phase of work.
3. Dissatisfaction with Deliverables
If you are dissatisfied with delivered design work, please notify us in writing within 10 business days of delivery. We will review your feedback and, at our discretion, either:
- Perform reasonable revisions to bring the deliverable in line with the agreed project brief
- Issue a partial refund proportional to the degree of dissatisfaction, provided it can be substantiated
- Offer a credit toward future services equivalent to the disputed amount
4. Non-Refundable Items
- Third-party licensing fees incurred on your behalf (stock imagery, font licenses, plugin subscriptions)
- Work completed and approved under signed-off project milestones
- Rush fees or expedited delivery surcharges once work has commenced
- Consultation fees for sessions already delivered
5. Refund Process
To request a refund, contact us at [email protected] with your project reference and a detailed explanation of the reason for your request. We will acknowledge your request within 2 business days and provide a resolution within 14 business days. Approved refunds will be processed using the original payment method.
6. Dispute Resolution
In the event of a dispute regarding refunds that cannot be resolved through direct communication, either party may seek mediation through the Danish Mediation Institute (Mediationsinstituttet) before initiating formal legal proceedings. This policy is governed by Danish law.
Terms of Service
1. Acceptance of Terms
By accessing and using the services provided by PixelHarborStudio, located at Skt. Knuds Kirkestræde 5, 5000 Odense C, Denmark, you agree to be bound by these Terms of Service. If you do not agree to any part of these terms, you must not use our services.
2. Scope of Services
PixelHarborStudio provides professional design services including but not limited to: UI/UX interface design, brand identity systems, motion design, design system architecture, mobile application design, data visualization, accessibility auditing, web design and prototyping, design token engineering, and visual identity guidelines. The specific scope, deliverables, timeline, and pricing for each engagement are defined in a separate project agreement or statement of work.
3. Project Agreements
Each project engagement is governed by a written project agreement that specifies:
- Detailed scope of work and deliverables
- Project timeline and milestone schedule
- Pricing, payment terms, and invoicing schedule
- Revision limits and change request procedures
- Acceptance criteria for deliverables
In the event of a conflict between these Terms of Service and a specific project agreement, the project agreement shall prevail.
4. Payment Terms
- Invoices are payable within 14 days of the invoice date unless otherwise specified in the project agreement
- Late payments may incur a fee of 1.5% per month on the outstanding balance
- Work on subsequent project phases may be suspended if payment for the current phase is overdue by more than 14 days
- All prices are stated in Euros (EUR) and are exclusive of applicable VAT unless stated otherwise
5. Intellectual Property
Upon full payment of all applicable invoices, PixelHarborStudio grants you a perpetual, non-exclusive license to use all final design deliverables for the purposes specified in the project agreement. PixelHarborStudio retains the right to display completed work in portfolios, case studies, and marketing materials unless explicitly restricted in writing within the project agreement.
All pre-existing intellectual property, frameworks, methodologies, design systems components, and tools used in the creation of deliverables remain the exclusive property of PixelHarborStudio.
6. Confidentiality
Both parties agree to maintain the confidentiality of proprietary information shared during the course of the engagement. This includes business strategies, product plans, design concepts, trade secrets, and any other information marked as confidential. This obligation survives the termination of the engagement for a period of 24 months.
7. Limitation of Liability
To the maximum extent permitted by applicable law, PixelHarborStudio's total aggregate liability under any project agreement shall not exceed the total fees paid by you under that agreement. PixelHarborStudio shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or business opportunities.
8. Termination
Either party may terminate a project agreement with 14 days' written notice. Upon termination:
- You will pay for all work completed and approved up to the termination date
- PixelHarborStudio will deliver all completed work product within 10 business days
- Outstanding work-in-progress will be delivered in its current state as-is
9. Force Majeure
Neither party shall be liable for delays or failures in performance resulting from causes beyond reasonable control, including but not limited to natural disasters, government actions, pandemic restrictions, internet outages, or other force majeure events.
10. Governing Law and Jurisdiction
These Terms of Service are governed by and construed in accordance with the laws of Denmark. Any disputes arising from or in connection with these terms or any project agreement shall be subject to the exclusive jurisdiction of the courts of Odense, Denmark.
11. Modifications
PixelHarborStudio reserves the right to modify these Terms of Service at any time. Material changes will be communicated via email to active clients or posted prominently on our website. Continued use of our services after such modifications constitutes acceptance of the updated terms.
